Position Summary
The Controller & Operations Manager serves in two complementary capacities: financial steward of the Company and oversight of all office and administrative operations.
As Controller, the position is responsible for overseeing the Company’s financial operations, including timely billing and collections, payroll and benefits administration, and compliance with Company policies.
As Operations Manager, the position oversees the efficient functioning of the Company’s office and administrative operations and serves as the primary internal point of contact for IT, facilities, vendors, and other operational service providers.
The role is responsible for developing, implementing, and maintaining processes and SOPs that support consistent, efficient financial and operational practices.
This is a hands-on management position that reports to the Vice President and works closely with leadership, department heads, employees, and external service providers. The role requires strong financial judgment, proactivity, organizational skills, attention to detail, and a process-oriented approach across both finance and operations.
Key Responsibilities
Accounting & Financial Operations
· Oversee day-to-day accounting operations, including accounts receivable, accounts payable, payroll coordination, reconciliations, and general ledger activities.
· Manage billing process, including invoicing, collections, and cash receipts.
· Conduct cash reconciliations.
· Ensure stewardship of company funds and proactively notify Senior Management of cost-saving measures.
· Manage company expenses, including credit card purchases and reimbursements.
· Process payroll and coordinate with Human Resources on compensation, benefits, and related payroll matters.
· Oversee employee benefits administration and reconcile benefit-related expenses monthly.
· Write and maintain accurate accounting policies and procedures.
· Manage insurance policies and premiums.
· Facilitate company registrations as necessary to do business.
· Coordinate with external accountants and tax advisors.
· Support budgeting and cash-flow management.
· Ensure compliance with applicable accounting requirements and Company policies.
· Identify and implement opportunities to improve accounting processes, systems, controls, and efficiency.
· Supervise a bookkeeper to support A/R, A/P and collections processes.
Office & Administrative Operations
· Oversee day-to-day office operations, including facilities, supplies, equipment, vendors, and office services.
· Coordinate office maintenance, repairs, security, and other facility-related needs.
· Manage relationships with office and administrative vendors and serve as liaison with building management personnel.
· Support efficient onboarding and offboarding processes from an office, equipment, and systems perspective.
· Maintain company policies and procedures.
· Identify opportunities to improve operational efficiency.
· Manage the Company’s relationship with external IT providers.
· Coordinate employee technology needs, including computers, software, accounts, equipment, and access, via IT provider.
· Ensure appropriate cybersecurity, data protection, access controls, and backup practices are maintained in coordination with external IT providers.
· Supervise an Office Administrator to support receptionist and daily office management functions.
Qualifications
· Bachelor’s degree in accounting, Finance, Business Administration, or a related field.
· 5+ years of relevant accounting/finance experience, with experience in a Controller, Accounting Manager, or similar role preferred.
· Strong knowledge of accounting principles and financial reporting.
· Experience with accounting software and financial systems, particularly invoicing software. Cosmolex or similar preferred.
· Strong organizational and problem-solving skills.
· Demonstrated ability to manage, develop, and support employees, including setting expectations, providing feedback, and holding team members accountable.
· Ability to manage multiple priorities and work effectively across departments.
· Excellent written and verbal communication skills.
· Experience managing outside vendors and service providers.
Success in This Role
Success in this position means that the Company’s financial operations are accurate, timely, controlled, and well organized, and that office and technology operations run smoothly with minimal disruption to the business. The Controller & Operations Manager should be proactive in identifying issues, improving processes, and bringing significant financial or operational matters to leadership’s attention.
